Who Are We

The Somerset VCFSE Insights Hub is run and managed by All About The Place (a business initiative from eCulture Ltd) on behalf of a a collective group of Somerset Voluntary, Community, Faith and Social Enterprise (VCFSE) organisations that have sponsored the development of this community resource (see the home page for details of the partners involved).

 

eCulture Ltd (a social enterprise business) operating as All About The Place are hosting the website and so are the data controller. If All About The Place shares any personal information with any of the other partner organisations, those partner organisations will also become data controllers of that personal data.

What information do we collect about you?

We collect information about you when you fill in an online form to:

 

Register for a website account or update your account details
Sign up for email updates
Contact us
Place orders for free or paid products, services or events
Complete surveys or provide feedback.

This information may include:

 

Name, role and organisation
Contact details including email address
Demographic information such as postcode and interests.

We collect material that you proactively post or contribute to our sites and any correspondence you have with us. When you contact us by email, letter or on the phone, we may also record this information on our system to help us process your request efficiently.

 

We also collect information on your website usage through cookies, if your browser accepts them. For more information about cookies, please refer to our cookie policy.

How Might we Share Your information.

When you supply personal information (e.g., for community services or membership), we have legal obligations towards you in how we use that data. We must collect the information fairly; that is, we must explain how we will use it (see the notices on particular web pages that let you know why we are requesting the information) and tell you if we want to pass it on to anyone else.

 

In general, any information you provide will only be used within the business and by its agents and service providers. Your information will be disclosed where we are obliged or permitted by law. Also, suppose you post or send offensive, inappropriate or objectionable content anywhere. In that case, All About The Place can use whatever information about you is available to it to stop such behaviour. This may involve informing relevant third parties such as your employer, school e-mail/Internet provider and law enforcement agencies about the content and your behaviour.

 

We will hold your personal information on our systems for as long as you use the service you have requested and remove it if the purpose has been met or, in the case of Somerset Insights Hub membership, you no longer wish to continue your registration. For safety reasons, however, we may store messaging transcript data (including message content, member names, times and dates) from using the insights hub services for six months. We will ensure that all personal information supplied is held securely in accordance with the UK Data Protection Act.

 

Your information may be used to allow All About The Place to contact you for “service administration purposes”. In that case, All About The Place may contact you for several purposes related to the service you have signed up for. For example, we may wish to provide you with password reminders or notify you that a particular service has been suspended for maintenance. We will not contact you for promotional purposes, such as notifying you of improvements to the service or new services on the Somerset Insights Hub, unless you specifically agree to be contacted for such purposes when you submit your information on the site or at a later time if you sign up specifically to receive such promotional information.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Embedded Content From Other Websites

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

The provision of personal data is neither contractually required nor necessary for the conclusion of a contract. You are not obliged to provide the personal data. If you do not provide the personal data, we will not be able to manage your consents.

Analytics

How long we retain your data.

We do not keep your information for longer than necessary. We’ll only keep your information while we still need it to provide you with a service or where we are required to keep it by law.

 

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.

 

For users that register on our website, such as content uploaders, we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

 

If you have sent us data, for example via an email, and we have had no contact with you for 3 years we will delete your data and email at the end of the third financial year after your last contact with us. All emails will be deleted after 5 years.

Where we store your data.

Data submitted to the insights hub is held on a private server managed by www.allabouttheplace.uk and hosted by IONOS in a UK datacentre.

 

Online forms: The forms on our website save data onto our secure local server. The server is based in the UK and is compliant with the EU’s General Data Protection Regulation 2018.

 

Website accounts: If you are a registered user on our website, the personal data within your account is stored on our secure web server based in the UK. You are responsible for keeping your website account password(s) confidential. We ask you not to share your password with anyone for your own security.

 

Security: We take great care to ensure that our website operates at the highest security levels and that our suppliers are committed to best practice in digital security. However, the security of data transmission via the internet can never be 100% guaranteed, and data transmission is at your own risk.

How do we keep your information safe?

All of our information is kept safe using the following:

 

Passwords. To make sure that only staff and organisations who are authorised to see your information can do so.
Training. So staff know how to look after your information.
Regular monitoring. So we can keep up to date with new technology and threats to your information and make sure our systems stay secure.

We want to make sure that any personal information we hold about you is accurate and up to date. Please contact us to correct or remove information you think is inaccurate.

What rights do you have over your data?

You have the right to request a copy of the information that we hold about you and where we are holding or using your information because you have given us your permission you can take away your permission at any time. This may however affect the services you receive. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.
